About

Fjordgaarden: Spa · Hotel · Konference, sits on the edge of Ringkøbing, a few minutes' walk from Ringkøbing Fjord and a short drive from the North Sea. The four-star hotel is built around one idea: ro: the Danish word for calm, offered to busy lives. Its kurbad is a spa and wellness universe in the wild West Jutland nature: saunas from salt and Finnish to an outdoor tipi sauna in the spa garden, warm basins, and a 36-degree rooftop pool with views across Vonå and the fjord. Add 109 rooms and a seasonal Danish restaurant, and the tempo slows the moment you step inside.

Behind the calm is a busy commercial engine: meetings and conferences from half-day sessions to multi-day residential packages, alongside spa stays, dining and accommodation. Keeping all of that running smoothly, without the guest ever feeling the machinery, is exactly why Fjordgaarden went looking for a technology partner, not just a system.

Challenge

Fjordgaarden's meetings and events business runs at a pace its previous tools were never built for. Enquiries came in faster than proposals could go out, every event's details lived in several places at once, and the kitchen, the conference floor and the front desk each worked from their own version of the plan. The team spent its time reconciling instead of hosting.

When the time came to replace the system, most candidates looked similar on paper. Fjordgaarden wanted more than a fix for today: a platform being built for the next decade of hospitality, with AI woven into how the work actually gets done, and a partner whose direction matched their own.

Solution

Fjordgaarden chose GRAND Sales & Events. Every enquiry becomes a polished, interactive proposal in minutes, ready for the booker to accept online. Function sheets follow from the booking, so the kitchen, the conference floor and the front desk read the same details. Automated follow-ups make sure nothing slips between a busy team's hands, and the AI Inbox drafts the routine replies. The events side of the house was the natural place to start: it's where coordination is hardest and where a modern system proves itself fastest.

“We didn't choose GRAND for what it is today. We chose it for where it's going. When we look at how AI is built into the platform and the pace they develop at, we see the future of hotel systems. We want Fjordgaarden on that journey from the start.”

Result

Enquiries are answered while the interest is still warm, with proposals that look as considered as the hotel itself. Every event has one set of details, and the changes bookers make along the way land where the whole house can see them. The reconciling is gone, the time has gone back to guests, and Fjordgaarden has the calm it sells: a busy meetings and events operation that runs without friction.

Looking ahead

The plan is set: in summer 2027, Fjordgaarden moves the entire hotel onto GRAND, with rooms, housekeeping, rates, billing and reporting joining events on one platform. One guest profile across a spa stay, a dinner and a conference. One system for the whole team instead of a patchwork. And a partner whose AI-first roadmap matches how Fjordgaarden thinks about the next decade of hospitality.
